Grain elevator automation from the weighbridge to shipment

askcust develops grain elevator automation software: truck and consignment note registration, weights read from the weighbridge terminal, lab analysis, intake by lots, placement in silos and shipment in one system. For elevators and farms with their own grain storage where the weighbridge, the lab and accounting reconcile paper logbooks.

What grain elevator automation is

Grain elevator automation is a system that takes grain through the whole storage process: registering vehicles and documents, weighing, lab analysis, intake, placement in bins and silos, and shipment, with data coming directly from weighbridges and lab instruments. Unlike grain accounting software, which answers how much grain is stored and whose it is, automation runs the movement of trucks and lots itself.

Who needs a grain elevator management system

  • ·Elevators where weights are copied from the display into a logbook and lab results travel on paper slips.
  • ·Farms with their own grain storage that need to see how much grain arrived from each field.
  • ·Grain warehouses that take in grain from hundreds of depositors and have truck queues of several hours at harvest.
  • ·Groups with several elevators that need the same procedures and consolidated reports instead of separate software at each site.

Which tasks grain intake automation solves

Weights are copied from the display by hand

The system takes gross and tare weights directly from the weighbridge terminal and links them to the truck, consignment note and lot. Nobody types figures in, and every weighing has a time, an operator and a plate number, read by a camera if installed.

Lab results reach the weighbridge too late

The lab enters moisture, foreign matter, grain admixture, test weight and other quality indicators into the card of the same truck, and instrument results are imported from export files without retyping. The weighbridge sees the analysis before unloading and knows where to send the truck.

Truck queues stretch for hours at harvest

Drivers register in advance or at the gate, get a queue number and a Telegram message when their turn comes. The dispatcher sees the load on weighbridges and unloading points and routes trucks by crop and grain quality.

Weighings and analyses are edited after the fact

Every change to a weighing, analysis or document is logged with its author, time and reason, and closed shifts and days can only be edited with a separate permission. Discrepancies between the weighbridge, the lab and accounting show up at once, not at the stocktake.

Shipments are planned without knowing what bins hold

The system shows what is in every silo: crop, class, depositor, quality indicators. Shipments by truck or rail are formed from specific bins, and shipping documents and weights are reconciled with the order.

Modules of grain elevator software

The module set is defined during the analysis; automation can start with the weighbridge and the lab.

Truck and consignment note registration

A trip card with the truck, the driver, the consignor and the consignment note, paper or electronic via an e-TTN platform. Pre-booking, document checks at the gate and a queue number.

Weighbridge integration

Weights read from the terminal over a serial port or the network, a stable-reading check, gross, tare and net in the trip card, and a printed weighing ticket.

Lab and quality indicators

An analysis card for every sample: moisture, foreign matter, grain admixture, test weight and, for wheat, protein, gluten and falling number under the Ukrainian standard DSTU 3768:2019; imports from lab instruments.

Intake and placement in bins

Routing trucks to unloading points, forming lots by crop and class, tracking how full silos and warehouses are, and transfers of grain between bins.

Electronic queue and notifications

Queues for entry, unloading and shipment; Telegram notifications to drivers and depositors with their queue number, analysis results and accepted weight.

Truck and rail shipment

Shipping orders, bin selection, weighing at exit, documents for each truck and wagon, and reconciliation of actual weight with the order and the bin balance.

Reports and audit log

Intake and shipment by shift, day and season, balances by bin and crop, and a log of every change with its author and time for audits and disputes.

What the system integrates with

askcust connects existing equipment through its interfaces; weighbridges, lab instruments and cameras are supplied and serviced by their manufacturers.

  • truck and rail weighbridge terminals
  • lab analysers (export files)
  • licence plate recognition cameras
  • e-TTN platforms such as M.E.Doc
  • BAS (Ukrainian accounting suite)
  • Telegram Bot API
  • Modbus
  • REST APIs

Standard elevator software or a custom system

criterionStandard elevator softwareSystem by askcust
ProcessThe weighbridge, lab and unloading sequence is fixed by the software; exceptions are handled by hand. The truck route, roles and approvals follow how your particular elevator works.
EquipmentSupports the weighbridges and instruments on the list kept by the software vendor.Connects your terminals, instruments and cameras through their interfaces or files.
Queue and driversAn electronic queue is a separate module or service, not always linked to the weighbridge. The queue, Telegram messages to drivers and weighbridge load in one system.
Link to accountingExchange with BAS if the vendor supports it for your configuration.Intake, shipments and services go to BAS under your own exchange rules.
StartQuick if the elevator's processes are close to what the software expects. After an elevator survey and a pilot on the weighbridge and lab in the off-season.
When to chooseA standard grain warehouse, standard equipment, no non-standard services or reports.Your own procedures, several intake points, non-standard equipment or several elevators in a group.

How askcust works

  1. Elevator survey

askcust follows a truck from the gate to the exit with the weighbridge operator, the lab technician and the dispatcher: which documents, instruments and logbooks are used, and where queues and discrepancies appear.

  2. Process map and prototype

A diagram of truck and lot routes, roles and permissions, and a prototype of the weighbridge and lab screens agreed with the people who will use them every day.

  3. Off-season pilot

Connecting the weighbridge and the lab, test trips with real consignment notes and samples before harvest, so the first season in the system does not coincide with fine-tuning.

  4. Launch in season

All intake points work in the system, weights, analyses and balances are reconciled daily, and shift feedback is fixed quickly in the first weeks of operation.

  5. Support and development

Support during harvest, integration updates when equipment is replaced, and new reports and modules, such as rail shipment or depositor accounting, in later releases by agreement.

questions and answers

Does the system integrate with our weighbridges?

Yes, if the weighbridge terminal has a digital output: a serial port, a network connection or file export. askcust connects the terminal using its manufacturer's protocol, tests the transfer on real weighings and keeps manual entry only as a fallback flagged in the log. The weighbridges themselves, their repair and verification stay with equipment suppliers and authorised bodies.

Can we automate only the weighbridge?

Yes. The weighbridge is a natural first module, because every trip starts there: truck registration, the weight from the terminal, the weighing ticket and the log. The lab, the queue, bin placement and the exchange with BAS are then added in the same database, without data transfers or reworking what already runs.

How is data protected from backdated edits?

Weighings, analyses and documents cannot be edited directly once confirmed: a correction creates a new version with its author, time and reason, while the previous one stays in the log. Closed shifts and days can only be changed with a separate permission, and every such change shows up in a report for management and accounting.

Does the system keep working when the connection or power drops?

The weighbridge must not stop, so the operator's workstation can run on a local server at the elevator, and the central database synchronises when the connection returns. Uninterruptible power supplies for the weighbridge terminal, the computer and network equipment protect against power cuts; askcust includes them in the infrastructure requirements.

How is elevator automation different from grain accounting software?

Automation runs the process: trucks, weighing, analyses, queues and placement. Grain accounting counts the result: net weight, depositors' lots, services and warehouse documents. Both can be one system in which accounting receives weighbridge and lab data without re-entry, or automation can work alongside an existing accounting program.

How much does grain elevator automation cost?

The cost depends on the number of intake and shipment points, the equipment to connect and which modules are needed in the first season. askcust estimates the first stage, for example the weighbridge and the lab, with a fixed scope after surveying the elevator; further modules are estimated separately. There are no licence fees per workstation.
