What land bank management is

Land bank management is a register of every land plot an agricultural enterprise uses, with the documents for each: cadastral number and boundary, owner, the basis of use (lease, sublease, emphyteusis or ownership), term and registration of the right, and the normative monetary valuation. Unlike land lease accounting, which centres on people and payments, land bank management treats land as an asset: what there is, on what rights, where and until when.

Which tasks land bank management solves

Contracts expire unnoticed

The software lists contracts by expiry year and reminds the lawyer in advance, as many months ahead as needed to notify the landowner, use the tenant's pre-emptive right and register the new term. The risk of losing a plot is visible early, not when a neighbour is already farming it.

Cultivated area does not match the documents

Cadastral plots are overlaid on field boundaries, and the software counts the discrepancies: plots inside fields without a valid contract, contracts for land that is not farmed and area differences. The lawyer and the agronomist see the same problem plots on the map instead of arguing over spreadsheets.

Rights are not fully registered

Each contract shows whether the lease or emphyteusis right is registered, when and under which number. Signed but unregistered contracts go to a separate list, because under Ukrainian law a lease right arises only from its state registration.

Every department keeps its own land list

The lawyer keeps contracts, the accountant keeps accruals, the agronomist keeps fields, and each has a different land bank area. The software holds one plot register that lease accounting, the field map and reports all draw on, so the land bank figure is the same for everyone.

The director cannot see the whole land bank

A report shows the area by type of right, district and contract expiry year, the share of registered rights and plots with problems. Management sees how much land is at risk next season without asking the legal department.

questions and answers

Can plots be loaded from the State Land Cadastre?

Yes, from the files the farm has. The XML exchange files of land survey documentation contain a plot's boundary, area and cadastral number; askcust imports them and converts coordinates from the national USK-2000 system into the one the map uses. For plots without files, data is entered from cadastral extracts and the surveyor's spreadsheets, and the boundary from a field survey or the public cadastral map.

How can we see which contracts expire this year?

The expiry report lists contracts by year and month with area, district and landowner contacts, and such plots are highlighted on the map. Reminders reach the lawyer in advance, at an agreed lead time, to leave room for notices, the tenant's pre-emptive right and registration of the new term. Next year's list can be exported for the renewal campaign.

How is land bank management different from land lease accounting?

Land bank management answers the question of which land, on what rights and until when: plots, boundaries, contracts, terms and registration of rights. Land lease accounting is about people and money: the register of landowners, rent accruals and payments, taxes and payment lists. They are two modules on one plot register: a landowner is seen through their plots, and a plot through its owner.

Can we see plots on the field map?

Yes, cadastral plots are shown over field boundaries, and the colour shows the type of right, contract term or registration status. You immediately see plots inside a field without a valid contract, contracted plots that are not farmed, and the difference between a field's area and the total area of its plots. Clicking a plot opens its contract, owner and history.

How much does land bank software cost?

The cost depends on the volume and state of the data, the number of contract types, integrations and reports, not on the number of hectares. Most of the work is usually in importing and cleaning existing spreadsheets, so askcust first assesses the sources and then estimates the first stage, a plot and contract register with term control, with a fixed scope.

Where is land data stored and who can access it?

On the enterprise's server or in its cloud account: the land bank is commercially sensitive, and access to it is split by role. The lawyer sees contracts and documents, the agronomist sees plots on the map without financial terms, and management sees everything. A change log shows who edited a contract and when, and askcust's access is limited to development and support.
